Spring 2024 Residence Hall Check Out

All residents must be checked out of their rooms by Monday, May 13 2024 at 8 a.m

Lock your door(s) when you leave. If your door (or sliding door in Atwood) does not lock or your lock is broken, notify F&M immediately by submitting a work order to have it repaired before you leave. Similarly, lock all your windows and close your blinds/curtains when you leave. If your window won’t lock or is damaged, submit a work order to F&M now to get it repaired before the end of the semester.

Proctors and other staff will be going into all rooms to check that your room has been completely vacated. You should take all valuable items home with you. Any items left behind will be discarded. According to your housing contract, students who do not leave their room by the designated date and time of closing will need to vacate their room/suite immediately, pay a fine, and be subject to DB/JB sanctions.

The reason for the tight deadline is that the proctor staff can’t leave until the campus is completely unoccupied, and they want to get out of here as much as you do. You must be completely out of your room at 8 a.m. though. Do not wait to pack until that morning.

Key Returns

Only people whose room doors are NOT behind a card swiped access door need to turn in their keys (West, North, the Atwood efficiencies and column doubles.) All other students will have their suite swipe locks deactivated on Monday morning, May 13 at 8 a.m. Everyone must return most departmental keys you have been issued. You must set up an appointment with your Proctor to turn in your key.

If you fail to turn in your key by this deadline, your door(s) will be re-keyed and your student account will be billed $150 for each key you did not turn in.

Quiet Hours/Noisy Minutes

ASHMC established quiet hours for all residence hall beginning on Sunday, May 4, 2023 at noon. They end on Wednesday, May 8 at 10 p.m. Please exercise prior restraint on your noise needs and respect all requests for quiet.

Noisy minutes will be from 8:45 to 9 p.m. Sunday through Wednesday of exam week (with noise remaining on our side of Foothill and Platt Boulevards). Snacks will be available at the Hoch at 9 p.m., immediately following noisy minutes.

Fall 2024 Early Arrival

The residence halls for all returning students will open on Sunday August 25, 2024. The Fall 2024 Early Arrival form will be available at the end of the Spring 2024 semester and will be linked here soon. Once the Office of Housing and Residential life reviews and approves the request, students will be notified. There will be a daily rate of $30. Students participating in college sponsored events, work, and projects (i.e. CMS athletes, Mentors, and Proctors) that need to arrive early do not need to complete this form unless they are asked to by the Office of Housing and Residential Life. Fall 2024 Residence Hall Closing

Residence Halls close Saturday, December 14, 2024 at 8 a.m.

Lock your door(s) when you leave. Similarly, lock all your windows and close your blinds/curtains when you leave. The closed blinds/curtains will prevent burglars from deciding your room is the best to break into. If your window won’t lock or is damaged, submit a work order to F&M now to get it repaired before break.

Proctors and other staff will be going into all rooms to check for unplugged appliances and ensure security for break. You should take all valuable items home with you. Because it is not always possible to take home large items such as computers, stereos, and TVs, consider putting them in your closet or under your bed. Over break, building attendants will do their regular cleaning in common spaces (South, Atwood, Linde and Drinkward suite lounges and bathrooms, Case bathrooms and hallways, and all main lounges) and individual rooms. Remove all personal items from common/public areas (residence hall lounges, courtyards, etc) because cleaning will occur and items will be discarded. If you don’t want your room, suite lounge, or bathroom cleaned, email F&M via facilities@hmc.edu. In addition, heating will be turned off over break.

Unplug everything in your room and throughout the residence hall. Unplugging also conserves phantom energy draws and reduces costs. Do not run computers or servers from on campus during break. Also be sure to unplug and defrost your refrigerator, taking the necessary precautions to absorb the frost melt. This also applies to suite refrigerators in Sontag, Linde apartments, Atwood efficiencies, and Drinkward as well as residence hall fridges in South, Case, and Linde. Proctors will enter your room and unplug anything you’ve left running. So, you may end up with a moldy fridge, a puddle of water, and a very smelly room.

Winter: Before You Leave

Staff will be entering all rooms to verify following:

Unplug everything, turn off HVAC, and defrost refrigerators
Lock all doors, windows / close blinds
Discard all perishables and take out trash
Bring bikes into your room
Pets cannot stay and must be taken
Remove all personal items from common/public areas (residence hall lounges, courtyard, etc) because cleaning will occur and items will be discarded

Spring 2025 Move-in Information

The residence halls will be open on Sunday, January 19, 2025 starting at 8am.

Spring 2025 Early Arrival

Students will not be allowed in the residence halls during break, except for those in previously approved groups (e.g. winter intercollegiate athletes) who must return early and are on the early arrival list. There is no returning to campus prior to Sunday, January 19, 2025, at 8 a.m. without approval and confirmation of being on the early arrival list. If you need to request an early arrival, please email ResLife@hmc.edu. There is a $30 charge for each approved day. Residence Life Staff, Athletes, and Sophomore Retreat participants are automatically added to the early arrival list.

Residence Halls Reopening/Key Pick-Up

Residence Halls Reopen Sunday, January 19, 2025, at 8am

Students will not be allowed in the residence halls during the break, except for those approved and on the early arrival list. When you get back in January, students who turned in a key may pick up a key by calling the proctor on-call at 909.717.7183 on Sunday, January 19, and Monday, January 20 from 8am to 5 p.m. After 5 p.m., you may contact your own proctor from your residence hall to pick up your keys or you may call Campus Safety. CS will charge you a $30 key-in fee.

All other students will have their suite lock activated for card access by 8 a.m. Sunday, January 19. Monday, January 20 is a staff holiday in remembrance of Dr. Martin Luther King, Jr., and most offices will be closed or operating with a small number of staff. The residential life office will have only a few staff members working that day.

Vehicles and Bikes

If you leave a car in a parking lot over break, remove all valuables from it, lock it, and make sure to display your parking permit. If at all possible, take your car with you or move it to a more secure off-campus location. Do not leave your bike outside over break. Lock it to a sturdy object in your room.

Fall Graduates/Study Abroad/Leave of Absence Check-Out

If you are not living on campus during Fall 2024, you must move all of your stuff out of your room before you leave for winter break and sign-up for a check out meeting with a proctor. At the time of your check out appointment with your proctor, your room needs to be in its original, clean, fully-equipped condition from when you moved in. All College provided furniture (beds, desks, chairs, etc.) should be set up as found (beds can stay lofted). All keys should be turned in to your proctor during your check out appointment.

If you will be moving to a different room for spring, it’s best to wait to make the move when you return in January. It saves the hassle now.
