{"id":5911,"date":"2023-04-05T13:49:59","date_gmt":"2023-04-05T20:49:59","guid":{"rendered":"https:\/\/www.hmc.edu\/cis\/?p=5911"},"modified":"2023-04-05T13:49:59","modified_gmt":"2023-04-05T20:49:59","slug":"march-2023-update-from-cis","status":"publish","type":"post","link":"https:\/\/www.hmc.edu\/cis\/2023\/04\/05\/march-2023-update-from-cis\/","title":{"rendered":"March 2023 Update from CIS"},"content":{"rendered":"<p>March&#8217;s a wrap and here&#8217;s our update.<img loading=\"lazy\" decoding=\"async\" class=\"size-medium wp-image-5912 alignleft\" src=\"https:\/\/www.hmc.edu\/cis\/wp-content\/uploads\/sites\/18\/2023\/04\/three-leaf-clover-backgrounds-shamrock-royalty-free-image-1643738833-300x225.jpg\" alt=\"\" width=\"300\" height=\"225\" srcset=\"https:\/\/www.hmc.edu\/cis\/wp-content\/uploads\/sites\/18\/2023\/04\/three-leaf-clover-backgrounds-shamrock-royalty-free-image-1643738833-300x225.jpg 300w, https:\/\/www.hmc.edu\/cis\/wp-content\/uploads\/sites\/18\/2023\/04\/three-leaf-clover-backgrounds-shamrock-royalty-free-image-1643738833-1024x769.jpg 1024w, https:\/\/www.hmc.edu\/cis\/wp-content\/uploads\/sites\/18\/2023\/04\/three-leaf-clover-backgrounds-shamrock-royalty-free-image-1643738833-768x577.jpg 768w, https:\/\/www.hmc.edu\/cis\/wp-content\/uploads\/sites\/18\/2023\/04\/three-leaf-clover-backgrounds-shamrock-royalty-free-image-1643738833.jpg 1200w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/><\/p>\n<p><b>Kuali Build<\/b><br \/>\n<span style=\"font-weight: 400\">As mentioned in the February update, HMC has signed a contract for Kuali Build.\u00a0 We are very excited about this in CIS.\u00a0 Here\u2019s the current status:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">We now have the \u201cproduction\u201d tenant set up, and will soon be able to invite people to participate.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">We are working with Patricia Wang in Student Accounts to put a long awaited \u201celectronic Tuition Payment Agreement\u201d in place.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">We are working with Prof. Kathy Van Heuvelen to launch a new version of the Summer Research agreement that used to be in the Jenzabar portal.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">We are working to set things up so that \u201ccitizen developers\u201d can create their own forms and workflows, but with the advantage of being able to install \u201cgadgets\u201d in their forms to pull in data that the college already has (eg. we shouldn\u2019t have to ask for your name if you\u2019re signed in, or your department or your major and so on\u2026).\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Once all that\u2019s in place, we\u2019ll send out information about access and training (although it is a very intuitive application).<\/span><\/li>\n<\/ul>\n<p><b>Google Storage<\/b><br \/>\n<span style=\"font-weight: 400\">Reminder that the deadline for the Google storage changes is July 2024, so we have plenty of time.\u00a0 Recently, we put some temporary quota limits in place, mainly so that you can get a more realistic picture of what\u2019s available when you look at your storage usage.\u00a0 It bears repeating that we will prioritize college data (teaching, research, admin) and we will try to ensure that this change from unlimited to limited total institutional\u00a0 storage (max 128Tb on current licenses) does not have a noticeable impact on your work. \u00a0 The quota changes were as follows:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The \u201cHighest Usage\u201d group: Everyone with more than 1 TB of data. Their limit will be 23 TB.\u00a0 There are currently 28 (of 13,000) users in this group, accounting for 107Tb of storage space.\u00a0 17 of the 28 are alumni.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The \u201cHigh Usage\u201d group: Everyone with more than 100 GB of data, and less than 1 TB. Their limit will be 1 TB.\u00a0 There are 202 users in this group, accounting for 49.85 terabytes and 128 are alumni.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The default for the organization (everyone else). Their limit will be 100 GB.\u00a0 There are 6,675 users in this group.\u00a0\u00a0<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">The rest of the users have less than 1Gb and many have 0 Gb as they have never logged in.\u00a0\u00a0<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400\">We have also turned off Google Photos on the g.hmc.edu account for all but a handful of users.\u00a0 The vast majority weren&#8217;t using it. \u00a0 However, Google counts photo storage toward the institutional storage total while at the same time classifying it as a consumer service, which means that we have no admin tools to work with, other than turning it on or off.<\/span><\/p>\n<p><span style=\"font-weight: 400\">Don\u2019t hesitate to get in touch if you have questions or concerns about this work.<\/span><\/p>\n<p><b>High Performance Computing<\/b><br \/>\n<span style=\"font-weight: 400\">At a recent Department Chairs Committee (DCC) meeting, we discussed high performance computing at the college.\u00a0 More and more, faculty and students need access to high performance computing resources.\u00a0 At the same time, the number of offerings is growing at a dizzying pace.\u00a0 There are local options such as the Cave Computing Cluster in Chemistry and the Biology high memory system; Pomona college has just made a major investment in a cluster that they are willing to share; there is the NSF Access program that brings to bear supercomputing resources from around the country and there are the commercial cloud providers that can offer on demand access to sophisticated resources.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Given our mission, and even more so with our climate initiatives, Harvey Mudd College deserves bountiful computing resources to support research and teaching.\u00a0 Of the many offerings, no one size is likely to fit all, but can we make it the case that we are providing smoother access to the available resources and building our knowledge of what works well for which kind of problem?\u00a0 And can we make it so that new faculty are not coming to the college worried about whether they will have the right computational resources, which they may have taken almost for granted at their graduate institutions that have big centralized research support? \u00a0 We aim to go back to DCC in the fall with some ideas and recommendations.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">If you\u2019re interested in helping us understand the terrain of need and potential need, drop me a line at <\/span><a href=\"mailto:vaugh&#97;n&#64;&#104;&#109;&#99;.&#101;du\"><span style=\"font-weight: 400\">va&#117;g&#104;&#97;n&#64;&#104;&#109;c&#46;ed&#117;<\/span><\/a><span style=\"font-weight: 400\">.\u00a0 Even if you don\u2019t have time to help, but have views on this topic, please send me those views.\u00a0 We\u2019ll likely do some informal surveying on this topic too, so please be on the look out for more.\u00a0<\/span><\/p>\n<p><b>Update on CIS goals for 202-2023<\/b><br \/>\n<span style=\"font-weight: 400\">Last September I let you know about <\/span><a href=\"https:\/\/docs.google.com\/document\/d\/1PnlZcGBVvylssx3CHKLXO0lDoDvcpaAGQoAVRiYROmQ\/edit#\"><span style=\"font-weight: 400\">CIS FAST goals<\/span><\/a><span style=\"font-weight: 400\"> for 2022-23. \u00a0 We have been using the FAST approach to great effect.\u00a0 I invite you to revisit that document. \u00a0 The FAST approach, especially the \u201cF\u201d for frequently discussed, has had a very beneficial impact. In our weekly stand up meetings, we are almost always talking about some next step that will further one of our goals. We have <\/span><b><i>already achieved almost all the goals <\/i><\/b><span style=\"font-weight: 400\">we laid out for ourselves for the year!\u00a0 I want to take a moment to praise and thank the wonderful CIS staff for their diligent work. And we\u2019re already beginning conversations about next year.\u00a0 If you have an idea about something we should do, please let us know.<\/span><\/p>\n<p><b>Tips and Tricks<\/b><br \/>\n<span style=\"font-weight: 400\">Do you ever have the feeling that there are things you\u2019d learn to do if you only had the time and that lots of those things have to do with software that\u2019s full of features you haven\u2019t had time to explore?\u00a0 We thought we\u2019d bring you an occasional series of tips and tricks.\u00a0 By design, they\u2019ll be things that are easy to learn but could noticeably improve your workflow.\u00a0 And, since we are not experts, but accomplished novices who learn alongside you, we\u2019d love to hear from you about tips or tricks you\u2019ve discovered. \u00a0 Here\u2019s one for April\u2026.<\/span><\/p>\n<p><span style=\"font-weight: 400\">Often, you will find yourself working on an email that has to come from a committee or some other group. Or you\u2019d simply like some help from someone when you are composing a message. \u00a0 It\u2019s basically impossible to do this in an email client, and most people resort to drafting it in a shared document, then cutting and pasting.\u00a0 There\u2019s a newish feature in Google Docs that can help with this.\u00a0 Open a document, type \u201c@\u201d and pause a moment.\u00a0 A menu will appear with all sorts of options.\u00a0 What you\u2019re looking for is a \u201cbuilding block\u201d called \u201cEmail Draft\u201d (if you start typing \u201cemail\u201d it will come to the top of the menu).\u00a0 Select it and a table will appear in your document, with sections for all the parts of the email (to, subject, body etc). \u00a0 Now you can share the document with your co-authors (make them commenters rather than editors if you want to see suggested changes).\u00a0 Once the message is good, click on the big blue M to the left of the table\u2026 it will take you right into a\u00a0 gmail composition screen and you can hit \u201csend\u201d.\u00a0 \u00a0 Wow, that took a lot of words to describe, but I think you will find it is well worth the effort.\u00a0 (You can also accomplish this via the menu: insert -&gt; building block -&gt; email draft.
