2013-2014 Proctor Job Description
Proctors are employees of the College and members of the Dean of Students Office staff under the supervision of the Campus Life Coordinator. As Harvey Mudd staff, proctors are aware they are student leaders, role models and representatives of the College and have an obligation to act responsibly.
Qualifications
1. Applicants must be full-time students in good academic standing.
2. Applicants must be preparing to enter their final, full year at HMC at the time of their application.
3. Applicants should be in good standing with the Disciplinary and Judicial Boards.
4. Applicants should be outgoing students with integrity, character and strong interpersonal, organizational, communication and team skills.
Terms of Employment
1. Proctors must be on-campus during the term of employment, which starts on Saturday, August 17, 2013 and continues through Saturday, December 21, 2013, then restarts on Wednesday, January 15, 2014 and ends on Sunday, May 18, 2014.
2. Proctors must agree to the conditions set forth in the Proctor Agreement and return a signed agreement to DOS.
3. All proctors must participate in August training (12 days), orientation (5 days), a January retreat (5 days) and new/veteran proctor staff events each spring.
4. All proctors must comply with the College’s blood-borne pathogen exposure policy. If you are exposed to any bodily fluids while acting as a proctor, the College requires, and pays for, you to obtain a preventative series of immunization injections.
5. Prior to assuming the position in August 2013, proctors must participate in all Spring 2013 semester training sessions (unless you are studying abroad) and obtain certification in standard first aid and adult CPR (the College will reimburse you for the cost of this training if you arrange for it individually).
6. Proctors must equitably share responsibilities involved with the opening and closing of all residence halls and on-call coverage over Fall, Thanksgiving, Winter and Spring Breaks.
7. Proctors must actively participate in on-going staff meetings and training.
8. Frequent or extended absences from campus, especially at night and on weekends, are strongly discouraged.
9. Proctors must consult in advance with, and receive approval from, the Campus Life Coordinator for any other employment.
10. Other major commitments (e.g., internships, intercollegiate sports) may conflict with the time commitment required for the proctor position. These must be negotiated with the Senior Associate Dean of Students.
11. Proctors receive compensation in the form of an 80% reduction in their room fee and a 60% reduction in their board fee (based on the 16 meal plan). During the 2012-2013 academic year this was equivalent to $10,235.20. Compensation may be higher, or restructured, for 2013-2014.
Major Responsibilities
A. Interpersonal
All proctors are expected to:
1. Spend adequate time in the community to get to know and develop relationships with residents. Be open and approachable to residents.
2. Provide assistance to students with personal and/or academic difficulties. The proctors are a first line of consultation with students regarding academic advisories (a.k.a. low grade notices).
3. Respond to all types of emergency situations that occur in the residence halls. (Proctors do not need to have a car, but all proctors should have a valid driver’s license.)
4. Serve as leader and supervisor for mentors for the residence hall. Maintain communication with them and ensure that they are fulfulling their responsibilities.
5. Act as a liaison for students with various student services, including the Associate Dean of Academic Affairs, Facilities and Maintenance, the Office of Institutional Diversity, the Office of Career Services, Campus Safety, Health Education Outreach, Monsour Counseling and Psychological Services, Student Health Services, Chicano/Latino Student Affairs, Office of the Chaplains, Office of Black Student Affairs and Queer Resource Center.
6. Serve as a role model for other staff and residents. Demonstrate integrity by understanding and abiding by the Honor and Disciplinary Codes as well as by College policies found in the Student Handbook. Establish and maintain credibility and respect within the dorm.
B. Expectations Regarding HMC Policies
Proctors are expected to follow the same requirements under the Honor and Disciplinary Codes as any other student:
1. Maintain your integrity and the integrity of the community by observing all regulations.
2. Self-report to the DB or JB chairs if you violated a regulation.
3. If you observe a vioation of a regulation, you must report it to the DB or JB chairs.
The Campus Life Coordinator must be informed of behavior that constitutes a threat to a person or the community or violates the Honor or Disciplinary Codes.
C. Administrative:
All Proctors are expected to:
1. Meet weekly on Thursdays from 11:00 a.m. – 1:00 p.m. as a staff to discuss issues and concerns.
2. Implement social, cultural, recreational, educational or volunteer activities that develop the residence hall and campus community. Each proctor must complete at least two programs for their hall or floor per semester, one of which must be educational in nature. As a group, the proctors must complete a steady series of programs for their hall, including educational and diversity programs. As a group, the proctors must complete a total of ten programs for the campus each semester.
3. With mentors and DOS staff, design and present key sessions during Orientation.
4. Attend dorm meetings and assist dorm presidents with their duties.
5. Meet weekly with mentors and lead them in achieving their goals.
6. Provide on-call coverage of the residence halls during evening and weekend hours (including Fall, Thanksgiving, Winter and Spring Breaks) on a regular, rotating schedule. When on-call, proctors must be on, or a short distance from, the HMC campus for quick availability. They also must not be under the influence of alcohol or other illegal substances while on duty.
7. Be present and available to assist party organizers when your dorm hosts a non-private party.
8. Participate in the proctor selection process, including the new/veteran training held in spring.
9. Provide lock-out service to students in their residence hall.
10. Provide a communication link between students and Facilities and Maintenance regarding facility issues.
D. Other Responsibilities: Proctors are asked to recognize that students, faculty or staff may have unexpected needs which arise during the year. The proctors may be asked to assist in addressing these needs and therefore asked to assume additional duties as needed.
