Party Policy

Overview

There are three types of parties at Harvey Mudd College, as explained below. In accordance with state liquor laws, no admission may be charged for any party serving alcohol; however, party donations may be collected anywhere that advertising is allowed, but not in the direct vicinity of or inside the party. Advertising Policies can be found in the "Party Planning Packet" and should be strictly adhered to.

Fences with guarded gates must enclose any party at which the alcohol is not contained indoors; no alcohol may enter or leave the party. There should be one toilet available inside the party for every 150 expected guests. At any advertised party, the alcohol must be distributed by 21-year-old or older "servers," who are trained in the TIPS Program. Servers will be paid for their services and may not drink alcohol during the party. It is the responsibility of the servers to check ID's and monitor sobriety. Only those 21 or older will be served.

Parties not contained indoors must end by 1 a.m. and can only occur on weekends. Campus Safety reserves the right to break up any party. Note that the following guidelines may be amended or abbreviated by the Social Committee and the Dean of Students in special circumstances. The following are general guidelines which will be used by the Activities Dean and the party sponsors when the party is registered:

5-College
SIZE:  600 people maximum at one time
ALCOHOL:  Maximum of 7 kegs - 6.67 handles (for mixed drinks) may be substituted for each keg
SERVERS:  3-4 required (if alcohol is present)
SECURITY:  2 Campus Safety officers per party, one must be at the bar at all times; 1 Student Security per 100 guests required
GUESTS:  Open to 5-College students—Guest pass required for non-Claremont College people (limit 3 off campus per 5-C student)
ADVERTISING:  Advertising allowed on all 5 Colleges
REGISTRATION:  Register with DOS at least 2 weeks in advance—one party sponsor must be at least 21 (if alcohol will be present) and must stay sober for the duration of the party
COMMENTS:  It is the responsibility of Student Security and Campus Safety to monitor party size. Only the server distributes alcohol.

Mudd
SIZE:  300 people maximum at one time
ALCOHOL:  Maximum of 3 kegs - 6.67 handles (for mixed drinks) may be substituted for each keg
SERVERS:  2 required (if alcohol is present)
SECURITY:  5 Student Security required (if alcohol is present) - one guard must be at the bar at all times
GUESTS:  Open to Mudd students only—Guest pass required for non-Mudd students (limit 3 off campus per Mudd student; party organizers may grant additional guest passes)
ADVERTISING:  Advertising allowed at Harvey Mudd only
REGISTRATION:  Register with the Dean of Students Office at least 4 days in advance—one party sponsor must be at least 21 (if alcohol will be present) and must stay sober for the duration of the party
COMMENTS:  Only the server distributes alcohol. All mixed drinks should be prepared at a bar to which only the server has access.

Private
SIZE:  60 people maximum at one time
ALCOHOL:  Must be contained indoors - maximum of one keg
SERVERS:  None required—party organizer's responsibility to monitor drinking
SECURITY:  None required
GUESTS:  Invited guests only
ADVERTISING:  No advertising allowed (other than personal invitations)
REGISTRATION:  Register with the Dean of Students Office by noon the day of party—one party sponsor must be at least 21 (if alcohol will be present) and must stay sober for the duration of the party
COMMENTS:  Dorm barbecues and meetings are private parties and should be registered if alcohol will be present.

Equations
Number of kegs = n*(4/3)*(1/3)*(4)/150
where n = the number of people in the party at any one time, (4/3) is the pass through fraction, (1/3) is the fraction of attendees 21 or over, 4 is the expected number of drinks per person, and 150 is the number of 16 oz. drinks in a keg

Number of handles per keg = 150*2.63/59.2
where 150 is the number of 16 oz. drinks in a keg, 2.63 is the ounces of alcohol per drink, and 59.2 is the number of oz. in a handle
