Minutes for ASHMC Meeting
Sunday, 4:00PM, October 14th, 2012
Riggs Room, Linde Activities Center
ABSENT: Off-Campus
Status Updates
VP – Frosh presidential election is over. We might actually have a junior appeals board too. We’re thinking of running frosh honor board elections early, right after fall break, so Miranda can train all honor board people at same time. Reps won’t serve on any cases until the spring.
Treasurer – Kenny is proxying for Travis. He has gotten a lot of positive feedback on the website. Everyone should have received fall allocations.
Case – Doing good, we had singalong.
Juniors – We’re good.
South – Good.
CAP – No updates.
East – Good
Sophomores – Good, we beat frosh in frosh-soph game.
North – Good, we beat case in flag football today.
Social – Good, we’re excited for Halloween weekend.
Atwood – Good.
Linde – Good.
Seniors – Good.
West – Good.
Frosh – Good.
Athletics – Good.
Sontag – Good.
DAC – Most of cardswipe stuff is finished, new policies will be sent out tomorrow. Cardswipe was discussed on Friday.
President – No meeting next week. Meeting after that we will discuss students-l. I will be sending a response to the guy about the mobile app telling him we aren’t impressed so far.
ASHMC Contribution to Taylor Swift
Social is contributing 2250, we got 425 from Scripps. We (Social) can deal with it after the fact too. Concert costs 10000. The student contribution is supposed to be ¼ to ½ of that.
VP – Around 2000? (We are going to give out 4x as many tickets as other schools).
President – We can’t allocate more than 1500 until we can get student vote. Business affairs has already fronted it.
Social – It would be nice if ASHMC matched what social contributed.
Motion to match 2250 for T-Swift

Awesome Things Competition
I’m reviving the Awesome Things Competition, it happened once last year. Interested students can form teams, we can take about 8-10 teams, and we will reimburse 100 for creating something awesome. A month later we have a gathering and teams will show what awesome things they have created. In the past we’ve had a few different awesome things. A net gun a few years ago, a drink carbonator. 40 people came to watch last year who weren’t involved in the competition. In the past we had about 8 teams and we awarded prize money in the form of gift cards. We are hoping to have 12 teams with the same number of cash prizes. Judges get ~$5 to In-N-Out.
Teams must present to get reimbursement. If it doesn’t work but they present a good effort, they will still get reimbursed.
Have you looked at the Shanahan grant?
Not specifically.
1400 total request, 1200 for team reimbursement.
How likely is it that they have 12 teams?
Not likely
I thought they had more than that last year?
Sophomores – This is one of the things I advertise as a tour guide, I think it’s pretty cool.
Motion to approve 1400 for Awesome Things

Wine Club Budget
We meet once a month and limit group to 12 people, we have a mature discussion about wine and taste with different cheeses. It’s a good experience. We learn quite a bit about specific varietals we are tasting, you have to practice tasting wine. You can’t develop a good palette without experience. We have some alumni involvement. We were allotted 200 from spring budgeting, we run about 100 per meeting for cheese, fruit, plates/cups/utensils, plus additional glasses. We have 6 months left in the year. Concerns raised at club budgeting, we were buying water/cups for each meeting, we are recycling cups from each meeting. We are using sink water.
The alcohol for these meeting is paid for by students?
Yes, it’s 10 per person per meeting who wants to participate.
You said you limit meetings to 12.
There’s generally about 15 who want to come, for past two we’ve had rotation of about 18 who have been involved. There have been a few people who want to be involved who haven’t been able to.
How much cheese is $50?
That’s about 3 lbs of good quality cheese. We have 3 plates with 3 1/3 of a pound slices.
Motion to Approve Budget of 750

Math Club
We are requesting 2000, we want to fund “pancakes with the profs”, laser tag, we are asking for refreshments for other smaller activities. We have about 30 members but these activities are open for all students. We will request from math department if need be.
When is laser tag?
In November. It would probably involve math profs.
Do you have a charter?
I don’t know, we don’t have records from last year.
President – If they don’t have a charter we’ll have to table it.
West – If they weren’t at the club fair they can’t request funds.
JB Chair – They’ve mostly operated within the math department’s budget before.
Motion to table
Seconded

Sontag/Case Lock LTF Requests
We went into DAC on Friday and discussed new cardswipe in Case and Sontag with F&M. They need to install 7000 of infrastructure in dorms before they can put the new locks on. They would front the 7000 and we would still be stuck with 3000.
Case – We have 1000 from LTF from last year. We are now requesting 1852.42 to cover lock.
Sontag – We are requesting 1000 from LTF since we have 1000 from LTF last year. The rest will come out of dorm allocations.
VP – Is this a necessity or a convenience?
Case – A convenience.
DAC – F&M will cover repairs.
VP – I think this is too much money.
Case Request Motion (1852.42)
Seconded

Motion Fails
North – Can we look at this at the end of the year? When we know about how much we have left in the LTF?
Frosh – What other groups might ask for LTF money?
West – We might be getting a quote for an ice machine.
Linde – The dorms themselves are already paying for a large portion of it. Kate said they’re buying it either way.
Frosh – Even though it sounds like a minor thing, they are clearly pushing hard for it.
CAP – Case voted on what to use LTF allocation for and it was almost unanimous for a lock.
DAC – Part of the problem is that this is a larger cost than anticipated. I’m not sure how I feel about giving an individual dorm money as opposed to something benefiting the entire campus.
