HMC Voting Website Feedback – Everybody!

Will – freshmen said they were having trouble logging in
    Confusion because not used to log in systems
Brigid – people didn’t like the switching of yes/no position
Wylie- is there a way to get a “send me my password” option?
Josh – it’s controlled by CIS, so probably not
Margaret- someone complained my email was spam
Alexa- someone asked if statistics could be released
Margaret – there’s no reason not to (constitutionally), so we can discuss the numbers
    I’ll send it when someone asks
Josh – why would anyone want to see it?
Margaret- I thought it was interesting, not that it really said anything
Wylie- someone wanted a means of giving feedback on budgeting items
Ryan – an optional commenting block after each item
Margaret- going to remove no vote option
    Too many people did no-vote
    When too many people are clicking no vote, there’s no feedback
Roxie – instead of no-vote, put a text box
Margaret- instead of people clicking yes for everything, they were clicking ‘no vote’
    To keep it, we’ll have to re-asses quorum numbers
    ¼ of people were saying ‘no vote’
Ryan – that doesn’t seem unreasonable
Ayyappa- our class liked the system; it was convenience
Margaret- people who were not registered as a specific year couldn’t vote; problem

Improv Club – Max Zhvanetsky, Elly Schofield

Max – improv club for other styles than without a box
    Goal: instructional, teaching everyone (even beginners)
Elly- 15-20 people interested so far
    Any questions?
Ryan – what are the differences in types?
Max – without a box have auditions and often turn people down
    Really limiting interest
    Their improv is more gimmick based
    We will be doing ‘short form’ (short, small scenes that aren’t led much)
    More free-form
Elly- we’ll probably be mostly beginners, so not too many shows this semester
    More performances next semester

Awesome Things Competition – Kevin Kim

Kevin – the competition encourages students to create things they otherwise wouldn’t do
    The students show up and faculty will judge them (on creativity, awesomness, etc.)
    We want $75/student for reimbursement + prize money
    Total to $800
Wylie- what 8 teams?
Kevin – they submit a proposal, and I approve it
    First come, first serve
Ryan – how many teams last semester?
Kevin – 10 interested, but only 5 showed up
Ryan – did the no shows get money?
Kevin – they didn’t submit a request, so no
Hufsa- would it hurt to compensate them less?
Kevin – probably not, but $75 is already less than students spend
    Want to minimize personal spending
Margaret- are you planning to do this next semester, too
Kevin – yes
Roxie – have you gotten funding from anywhere else?
Kevin - no

LEGOSHMC – Joshua Vasquez

Joshua – we want to establish a pool of pieces
    A lot of ebay purchasing, which I’ve been experimenting with
    Determined it’s better to purchase by pound
    Also, we need to pay for shipping for people who are willing to donate
    Shipping tends to run $10-$20 for a collection
    Last large cost is for containers; will last and won’t need more containers for a while
    Finally, some budgeted for individual pieces
    Also, sheet labels for storage and organization
    This is a big upfront cost, and we won’t come back asking for a lot later
Jackma – how long do they last?
Joshua – a piece will last 20 years if taken care of
Roxie – could you wait until after Christmas break to eliminate shipping charges
Joshua – yes, we could put off paying for the shipping
Roxie – what kind of storage containers are you looking at?
Joshua – free build boxes: stackable boxes with lids

Caltech/Harvey Mudd Math Competition – Joshua Ehrlich

Josh – we will have several teams from all over
    China, northern California, etc.
    25-30 people at Mudd who are interested
    10-15 from Caltech
    Caltech funded totally last year
    Need to buy food and t-shirts for participants
    We’ve collected prizes from companies
    We need $500 from ASHMC
Roxie – when is the competition?
Josh – November 13th
    We can make do with the money we have from non-ashmc, but it would show faith to Caltech
    We have $500 from last year
Ryan – how many years has this been running?
Josh – this is the second year
Roxie- what is the minimum you need from us?
Josh – it is flexible, but $250 is a minimum

Yearbook – Julia Mastieva

Julia- I’m not sure what the previous figure was
Roxie - $22000
Julia- right now, we have 164 pages
    We don’t have enough pages for every senior to have an ad
    We’re also only ordering 500 copies this year
    If we cut more, we’ll cut pages (we already don’t have enough copies)
    We have $7000 in our account right now
Roxie – where does that come from?
Julia – ad sales
    We’ll probably get $2000 more this year
Margaret- are you in a long term contract
Julia- we can negotiate it, but our order is already small
Roxie – I’m confused how much you need from ashmc
Julia – if you cut what we got last year by $5,000-7,000, we’d be okay
Ryan – we discussed having people order the books, so you know how many to buy
Julia – they never actually get picked up
    People wouldn’t order it
Wylie- that wouldn’t be a problem…
Julia- usually, when yearbook has deadlines, people try to submit late
Wylie – is there a problem if people don’t preoder and want one?
Julia – I feel like that would be bad
Margaret –at what date do you have to put in the number of copies by?
Julia – sometime in January
Roxie – I feel like that’s enough time…
Julia – what if we get over 500 request?
Ryan – we could ask for a down payment
Julia – most people won’t pay for it

Roxie – ashmc has a budget of 7600 when we cut yearbook by 5000
Hufsa- let’s start with yearbook
Marget- can we give them 17,000?
Scott- if you’re cutting pages, that doesn’t sound good
Marget- they can use their own money
Wylie- I feel like their system is unsustainable
    We feel like there’s not enough interest
    I don’t see why pre-orders are a bad idea
Brigid – if they’re already giving all of them away…
Jackma – can we charge it as a student fee?
Roxie – we can’t increase student fees
Hufsa- she did say they could make do with $17,000
    Does someone want to propose a number or a method
Roxie – we can’t tell them what to do
Margaret- we can give them stipulations
Scott- can we give them money and get back what they make of ads?
Margaret- that money would come back too late
Eric – does the yearbook funding only come from ashmc?
    Is it possible to get money elsewhere?
Wylie – already, dean Chris is working on it
Hufsa- if someone else funds it, it will be less student-controlled
Jackma – I feel like a small fee would incentivize students to pick them up
Scott- but that money wouldn’t come in later
Wylie – we could have a down payment
Roxie – senior yearbooks should still be free
    Could you poll dorms to figure this out?
Wylie – also, if we have them pre-order, it’s not a fixed 500
Lindsay –if people pre-order, do they have to sit in the hoch and give them out personally?

Roxie- for yearbook, $18k, so we have $9600 for the year
Marget- if we cut prize money for awesome things, then $700 to them
Eric- we can just give them a price cut, and let them decided

Eric- can that be long term fund?
Roxie – legos get lost, but maybe containers
Jackma – he also said legos last more than 20 years
Roxie – no
    Long term fund has to be here for >5 years
    We can ok something that will be constantly lost
Hufsa- can we do 50/50 ltf and budget?
Chris – it doesn’t seem like a valid argument…
Hufsa- if you think about what fraction won’t get lost, that fraction should be ltf
Ryan – I feel like we’re not very informed about interest and procedure
Roxie – I think we could subsidize half with ltf
    Ask for an inventory at club budgeting
Margaret- $350 from ltf and $350 from ashmc?
Roxie – I don’t think we should pay for shipping
    They can wait a month
Alexa- some people don’t go home, and it’s hard to transport
Margaret- math competition
Roxie – it seems like they’re not going to need that much
Lindsay – can we say we’ll pay up to $500 beyond what other sponsors give
Margaret- they said Caltech would match what we give
Ryan – propose $300
Eric- how much are we giving out total?
Margaret – $1350 from this semester budget, $350 from ltf
Eric – is this an okay amount?
    We should put ourselves in a corner
Maraget- we have underfunded conferences and the like
Margaret- cut awesome things down to $650
