Minutes for ASHMC Meeting

Welcomes & Status Updates
VP – yesterday, Hufsa and I went to the aabog and gave them an update
    Alumni are trying to work more with career services
    They want to be more involved with students
Seniors – We’re trying to get student speakers together
East – Currently organizing elections
Juniors – planning an event for this Friday
South- good
Case – organizing dorm elections
Sontag – also organizing elections
Atwood – elections
West – dorm meeting, maybe doing elections
CAP – good
Social – good
North – elections starting tomorrow, two300 on Saturday
Freshman – lab conflicts have been resolved
    Roomdraw went decently, 9 rising sophomores on the waitlist
Sophomores – good
Athletics – good
Linde – great, elections in near future
    I was in on Hufsa’s joke
DAC – just finished roomdraw
Treasurer – need to pick a date for club budgeting
    It has to be after 5c budgeting
President – are all the dorm throwing elections to have new presidents by next week?
Audrey – maybe, but definitely in two weeks

Budget Requests

Extra funding for the junior class -- Hayden Hatch
Hayden – this Friday, the junior class is having an event at boomer’s
    We’ve received 35 request for people to go, which is $350
    Accounting for paying drivers, and $20 of tokens
    That takes almost our entire budget
    I’m asking for more funding for any more juniors who want to go
    If no one else wants to go, then ASHMC won’t have to give us more funding
Jack – is there a cap on how much you’re asking for
Hayden – I don’t expect more than 4 or 5 more people to request going
    But you can put a cap on it if you want

Kohoutek -- Daniela Kronenberg

Daniela – Kohoutek is Pitzer’s 5C music an arts festival
    We’re asking $1500 from each school
    I’ve been to social, and I’m hoping that we can get that amount total
    The majority of our costs come from sound and security
    This is the only event that Pitzer asks money for
Hufsa- did social give any?
Lindsay – social gave $1000 and we’re hoping ASHMC will cover the rest
Hufsa- do you know how many Mudder’s come?
Daniela – We’re trying to work out a system to keep track of that, but no

Charter Approvals

Archery Club -- Alyssa Siegman
Alyssa- I have a club charter to start an archery club
    We want to make equipment and a range available to 5C students
    The range administrator is willing to let us use it
Margaret- are you planning on buying equipment?
Alyssa- we have plenty of equipment already
    We have to talk to the CMC archery coach to figure out exactly the availability
Brigid - what’s current interest on HMC?
Alyssa - about 45 people

Discussion Part I

Hufsa- so, junior class
Audrey – it sounds fine, but we should set a cap
Jackma- can we have a treasury update?
Chris- we have about $5500 to spend
Josh – do we have any other expenses we expect to have to cover, like noisy minutes?
Chris – I think that’s already in DOS’s budget
Brigid- but we have to allocate more
Audrey- does anyone not want to allocate them money?
Ryan – I see no problem with turning them away
Rachid – I don’t want to throw money at them
Josh – let’s set a $100 cap

FRC Mentors - Sarah Ferraro

Sarah – We help a high school robotics team with FIRST
    This year, we spent 6 weeks helping a team with their robot, and they got first place
    We want to go with their team to nationals, and we’d have to pay our own way
    We’re asking for $600 to cover travel expenses
    We’ve already spent our previous budget
    We weren’t expecting to go to nationals
Brigid- when are nationals?
Sarah – april 27-may 1
Rachid – is there a level beyond nationals?
Sarah – no, this is the highest you can go
    Also, our hotel stay is already being covered
Brigid – do you think you could get rides or train to reduce costs?
Sarah – yeah, we could do that

Hufsa- next is Kohoutek
Ryan - $21,000 is a lot of money for total
Audrey – it’s their only event, though
Jack – they only want $500
Margaret- I think a lot of Mudders do go
Hufsa – how does $500 sound?
Jack – I think it sounds fine
Hufsa- next is FRC
Ryan – how much does each person give to ASHMC?
Margaret- $245
Ryan – then give them $490
Margaret- we can think about this as being something Mudd wants to support
Hufsa- I’m good with the $600, maybe minus the cost of super shuttle
Audrey – so, $555
Hufsa- cool
    Next, let’s do the charter approval

Hip Hop something - Ti'esh

Ti’esh - We’re a commity of student who really love hip hop and want to give back to the community
It provides college awareness for students in underserved communities
It’s an all day hiphop festival and concern
I have a budget and a list of potential collaborators
I’m requesting $1000 from each student government
Ryan –where will the event take place?
Ti’esh – the greek theater
Lindsay – social gave $300 and we were hoping the rest would come from ASHMC or OID
Hufsa- any questions?
Margaret- what would be the first thing you would cut if you didn’t get all the money?
Ti’esh – I can’t speak for the committee as a whole
    Probably bringing in artist from different places

Disscussion Part III

Hufsa- what do you think?
Audrey – I think we should shelve it until OID responds
Lindsay – we gave them less than Kohoutek because this is a new event and we’re not sure how many Mudders are going to go
Margaret- instead of waiting for OID, we can give the money and hope that OID gives them the rest
Hufsa- I feel like OID would give them $300, so we could do $400
Hufsa- how does $300 sound? $400? Should we wait for OID?
Lindsay – I think it would really helpful for the event planners to know how much money they’ll have
Jack – we have no idea what this event is going to be, but it wouldn’t be unreasonable for Mudders to go
Margaret – Does anyone have a number?
Hufsa- let’s talk about something else

Relay for Life - Shailini Pandya

Shailini – something that we started two years ago is the colleges against cancer club
    This year, we’re doing the relay for life
    Last year, we raised $28,000 and this year, we’ve got $16,000
    I’m here to tell you about it and ask for your involvement
    The relay is April 9th to 10th at the CMS track
    The CMC student government is putting on a team
    We’d really like your involvement, as student leaders
Hufsa- do you think that dorms would want to sponsor teams?
Audrey – We could do inner and outer dorms
Hufsa- any idea of how many students might feel about getting involved?
Margaret- what other events are going on that weekend?
Lindsay – two300, walk a mile, ASP weekend
    Did you advertise on Mudd’s campus at all?
Shailini- we tried to, but mostly on CMC and Scripps
    Next year, we would love to do a lot of work with Harvey Mudd
Margaret- when is the last time you can sign up teams?
Shailini- you can sign up a team right up until the day of the event

Audrey – we should sponsor an ASHMC team
Ellie- they were tabling in the HOCH a little while ago
Jack – do we need to have official team or can we just send out a students-l email?
Margaret- if we have a HMC team, and only one, then that looks kind of bad
Hufsa- do you think we could add an extra incentive for Mudders to participate?
Brigid- has a student-l not been sent out?
Ellie- it’s been in the off-campus digest, but no one reads that
Jack – we could put up these posters
Lindsay – could we create a google doc for people to make teams?
Margaret- we could even ask her to do that, and send a students-l email
Hufsa- now to actually vote
Ryan – we never came to a consensus on the hip-hop event
Hufsa- so we got to $555 for the FRC, $500 to Kohoutek, $100 for juniors, and the hip hop event is still up in the year
Jackma – Part of the Kohoutek funding is for beer, which ASHMC can’t pay for
Margaret – we can specify that our funding doesn’t go to beer
Ryan – can we give them min{$400, $700-IOD contribution}
Audrey – I think we should give based on OIDs contribution
Hufsa- the event is two weeks away, and she really pushed to have her event on this week’s agenda
    I would recommend that we pick an amount?
Jack – I think we should give them between $300 and $400
Hufsa- I’ll put down $350, but we can motion for a different amount
