Treasurer- good

Atwood- good. Just bought speaker system

DAC- best room draw ever

Case- good. Setting up Slippery When Wet

Linde- good, just got trampoline. Had ABC party, went ok

VPs- good. Starting up elections. Talking to Dean Gary to set up Friday Forum

Maureen- had meeting with Caltech people. Talked about party, alcohol and things that student body would be concerned about. Scheduled for May 7th (after senior finals). Like last year. Need to pay for buses to bring us and Scripps

Emma- are we getting money from Scripps?

Maureen- no, but they probably wouldn’t give us money anyway don’t have very much money.

 

Maureen- we have people a lot of people running but not for class president, cap, dac, and jb.

Marc- I know of person who wants to run for DAC chair but not alone. If you know anyone else who wants to run, let me know

Strieter- haven’t heard anything about treasurer

Maureen- might have to postpone elections

 

Bryce Lampe - Electronic Voting System

Bryce- saving not working, email non voters not working

 

Bryce- tell me what you find difficult or non intuitive.

Tole- we can just log on?

Bryce- yes, and when you vote it’ll send you an email confirmation

Nick- will it end at a specific time and date?

Bryce- only ends at date.

Nick- so it will be at 11:59 PM?

Bryce- yes.

Bryan- could you set up fake election for us to do?

Bryce- yes.

Nick- when will n choose k saving work?

Bryce- I’ll start working on it after this

 

Jessica Blevins & Sabreen Lakhani - Knitting Club Charter Approval & Budget Request

Sabreen- Need DPN’s (double pointed needles). Cost $35 for set. I have one and it hasn’t broke yet

Jessica- Would be nice to have community of needles to use.

Sabreen- There have been 15 people who’ve emailed me back saying it’d be awesome.

Hufsa- are they all the same type of needles?

Sabreen- they are all different sizes. For different projects, different circumference.

Hufsa- how long do they last?

Sabreen- a while. I’ve had mine for about 2 years

Jessica- they won’t break unless you’re trying to break them

Tselil- we need money to make the chocolate covered strawberries

Emma- where did you get money previous years?

Tselil- ASHMC

Maureen- what is CCC?

Tselil- that’s the writing center money thing

Nick- CCC is a defunct organization that used to fund snacks and gatherings

Maureen- are you getting food through Costco or through the Hoch?

Tselil- Costco

Maureen- strawberries are cheaper from the hoch

Tselil- I think we have a specific farmers market we’ve always purchased at

Shawn- how many people come?

Tselil- we prepare for the whole campus. There were a lot extra last year

Sarah Ferraro - FRC Mentors Club Budget Request

Sarah- Our other event fell through because teacher had family emergency in spring. Had one day event, scrimmage. Cover cost of scrimmage. 250

Bryan- how many mentors are there?

Sarah- about 15

Margaret- how many high schoolers were there?

Sarah- 25-30. Our event had 13 teams with 20-30 people.

Jonny Simkin - Roller Prom Budget Request

Jonny- we drive people to roller rink. It was popular two years ago when we did it. 150 people showed up from 5C’s. It costs about $2000. Charge $5 to get in to cover rest of cost. Non alcoholic.

Nick- you won’t make profit?

Jonny- no, probably lose money.

Maureen- how much money ask other schools?

Jonny- 600 from Pomona, 200 from other schools. The remaining 500 from ticket sales. Hope more people come because they learned about it from two years ago

Maureen- consider if this is an event on its own or if it’s related to Roller Hockey Club. Because they’d have to go to student vote if it’s related to Roller Hockey Club

Bryan- not raising money for roller hockey team

Chris- used to have Leonard Fund available. Want to ask for money for dinner with Prof Evans. Want to do campus wide event. 12-15 members right now, and want to expand. The first, second, and third place winners would get money prizes at the event

Erin Powers- SWE Budget Request

Erin- Asking for money for WEST conference. This year our corporate funding went downhill and then WEST conference cost a lot more. Now we’re way over budget. Asking for $1000

Maureen- how much did we give you during spring

Nick- is this to recuperate the cost or fund for other things?

Erin- recuperate the cost

Chris- can you use the website for the budget request form?

Erin- I just didn’t know how to use Sabreen’s computer

Margaret- how many people in SWE?

Erin- 30 people. There are 50ish volunteers for WEST conference

Maureen- what happens if we don’t approve it?

Erin- comes out of our personal accounts. We wouldn’t get reimbursed

Tole- I want to make sure they’re not short changing themselves. This was an under estimate

Nick- we have to approve it now if they want it to go on these ballots

Discussion and action* about changes to the ASHMC Constitution that will go to student vote in the next election

*Action in this context implies we will be deciding what items, if any, will be placed on ballots so students can vote during the upcoming election.

 

Nick- Aren’t talking about what we talked about last week. Need Friday Forum.

Maureen- would like to put these in upcoming elections. Want Food Committee chair to be elected. Then we could actually elect food chair in May.

Maureen- want Food Committee Chair to have served in the committee before.

Tole- as someone on food committee, I would say it should be strongly encouraged

Bryan- it’s like having DB or JB chair who was never on honor board

Nick- but it’s not written down

Alyssa- are we taking the shadowing periods as part of this?

Maureen- we need to have that go to student vote

Nick- it would be in their statement that they were part of the Food Committee

Julian- makes them more qualified. But can’t limit it to only those people

Elly- Has it ever come up that someone who wasn’t on it ran?

Maureen- last year one candidate had never been on food committee before

Margaret- how is it presented on ballot?

Nick- like other constitution amendments

Maureen- any council can make temporary changes to bylaws. That’s why we have random stuff in the bylaws because the changes were never taken it out. Need to clean up bylaws. To make permanent changes to bylaws, council needs to do “this” (like student gathering or student vote)

Emma- personally, I feel like we should have a gathering and bylaws can be changed by the council

Maureen- student gathering, and then council votes on it, yeah?

Bryan- we might as well put that everything is voted on the same way.

Maureen- does anyone think that it should go to student vote?

Shawn- what’s been going on exactly?

Maureen- people who’ve made “1 year temporary” changes, have left it. We need erase and fix that stuff. The current constitution doesn’t allow us to do that

Marc- what kind of things would ASHMC want to change for that year?

Nick- probably appointed position

Maureen- I wouldn’t be surprised if the $50 fee for absences was from that

Shawn- can we just vote to change it and then continue the rule of changing for how it is?

Nick- no, we can’t make permanent changes.

Bryan- can do it all at once, if is on same ballot

Nick- is that confusing?

Bryan- it’s confusing but the least confusing

Julian- I don’t know if building in asking students about it is important. A lot of the rules are esoteric and we can get input if we need it.

Nick- rather than putting this in, we can just take some words out

Julian- council determine with best judgment

Margaret- what are the options?

Julian- Student input, Student vote, or Council makes best judgment

Maureen- does anyone have a big problem with the last one

Margaret- I like having required discussion

Elly- seems recursive. Seems like a bylaw to make changes.

Nick- don’t need to have how you change bylaws in the bylaws

Julian- but how to change constitution is in constitution

Nick- but that’s the core document. Let’s do a poll:

Requiring student election- 0

Require student convocation- 3

Not requiring any of those things- majority

 

Nick motions for change of Article 4, Section I (deletes “for a maximum duration of…” and the word temporarily (so reads “…or suspended…”)) so it can be placed on ballot

Ben Keller - Discussion about possible changes to the Honor Code

Ben- Met with faculty. Last week there were 8 amendments, now there are 7. Controversy about out of court settlements (not notify chairs) with proctors and Dean Guy—that amendment removed, not meaning to change anything substantial.

Bryan- what got in the way of what the proctors do? If you can work it out, you don’t have to report it

Ben- the existing language has some ambiguity and by fixing that language, I was getting rid of the ambiguity. So in Dean Guy’s view and some of the proctors’ views this created an issue.

Bryan- still left with the problem of the JB cases. To elaborate on that, what if a person gets caught cheating, never goes to Ben, and then professor never knows about previous infractions

Nick- in the other case, professor does out of court settlement so the student might not get fair settlement

Ben- We try to put out there to run everything by us. The possibility of that happening is not that big compared to the issues the language change brought up.

Ben- what is now amendment 2, made a couple changes. In amendment 3, added some language to 9b3 (advocate is not confidential). Do we vote on it now? I want it to go to student vote

Hufsa- are they voting for parts of it or the entire thing at once?

Ben- vote on each part separately. But you guys can handle it how you want.
