VP- elections done. Congrats to winners. VP’s have been talking about projects that they want to do this year. Generated some ideas: email them to talk about in future. Current ideas: Organize party with faculty and students in TG; cooking festival with faculty and students, e.g. BBQ on regular basis; Social, get together before or after ASHMC meetings, would be weekly or bi monthly to get people more involved with what’s happening; going to the Hoch/have a table in the Hoch and explain to the students what has been happening in the meetings; make videos to play on the Hoch TV; alumni mentoring program for freshmen. Any other input is welcome.
Treasurer- Changing the signers on accounts. The school has to sign an official form. Whoever wants to be on the new accounts, have to go to Bank of America and present ID etc. Forward any questions to Strieter.

Maureen- Constitution and Bylaws
-Written over 30 years ago. Things are outdated. Need to go to election, but students don’t know enough about it. Want to find ways to make minor improvement to constitution without having to go to student vote. Possibly have a 2 day retreat; there, we would work on constitution. Will hear more about it in the future

Moby Khan - Claremont Colleges Muslim Students Association budget request
-The club didn’t make it to spring 5-C budgeting. Going to every school this year to ask for money.
Moby- Club on and off since mid 80’s. More active since 2006. Participation mostly by Muslim students. So members vary from year to year. It’s the only club on 5C’s that caters to Muslim students.
Nick- What does the Eid Al-adha celebration entail?
Moby- Dinner with entertainment.
Emma- Where is the conference?
Moby- Varies. UC Riverside. Usually in CA.
Maureen- how many students planning to send?
Moby- Three or four.

Scott Butters - ToolSHMC "awesome things" competition & budget request
Butters: Want to get funds for projects students want to do. After given time period, everyone presents his or her project. Faculty judges will decide what is most awesome thing. Will win “prize money.”
-Asking for reimbursement for materials to build (up to $75).
-Request from faculty that they want to be involved but they would not get reimbursed.

Emma- Have you thought about Shananan Project Funds?
Butters- Yeah, but went through ASHMC last year.
Emma- Talk to Dean Cave. See if this project is something they would fund.
Butters- Would but deadline tomorrow.
Nick- Would you collect receipts from the teams?
Butters- Yeah. Kind of through ToolSHMC. I would approve it and then turn it in.
Nick- Would budget still be $750 regardless of number of teams?
Butters- There could be more than 10 people. Would like to be able to come back and ask for more, if more people. $10 is an estimate.
Julian- What happened with prize money last year?
Butters- Winner could be reimbursed for up to another $100 for building project. Would like to do that again. Could change it for tools and gift cards.
Margaret- How many people per team?
Butters- 2 or 3 people. A couple had larger group participation. One or two had 1 person. There were 35-40 people total at the event last year and 5 faculty members.

Jessica Witt - CAP request to access Spring allocation
-Almost out of money for the semester. Asking for $2000 from spring allocation to use this semester. Historically, more requests in fall than spring.
Margaret- Are the budgets even for each?
Jessica- Yes. $10,000 for fall and spring. Mostly for concerts. 30 events. Already spent 9000.
Nick- Plans to limit the number of concerts?
Jessica- Can if wanted.
Julian- Do we have to put it through an election?
Maureen- Nope.
Bryan- Have you denied anyone in spring?
Jessica- Have denied 3 people this semester this year, but haven’t denied anyone in spring.
Maureen- Still have money for fall break?
Jessica- Yes. And could have more money if not everyone goes to fall break activities.

Discussion and Action

Jessica Witt- CAP request to access Spring allocation
Maureen- I have no problem with this. Jessica probably thought about this, did it last year.

Julian moves to approve CAP request to access Spring allocation

Moby Khan - Claremont Colleges Muslim Students Association budget request
Maureen- Feel bad that didn’t give them money last year. Only school that didn’t.
Erin- There are only 3 HMC students
Emma- But the president and vp are HMC students
Brandyn- Could give same amount as other colleges that did last year.
-Maureen- Can give smaller amount than requested. Can come back to get more money for conferences.
Nick- But they have a big even coming up in November.
Maureen- When are conferences?
Sabreen- Jan and February
Emma- Any other members in the club?
Sabreen- Not sure.
Maureen- Give half of what was requested. Can come back and ask for more money.

Alyssa motions to approve $400 budget for Muslim Students Association

Scott Butters - ToolSHMC "awesome things" competition & budget request
Maureen- Good amount of money. But wouldn’t want to give more money if more teams signed up.
Margaret- Would we ask that he give each team less money?
Julian- Not all teams will spend that much.
Nick- We decide the max amount of money. Then he’ll have to divide it up for a budget.
Bryan- Can we approve amount and then approve amount to add to if they need it later?
Julian- Can’t give more money
Nick- What’s toolshmc’s budget? Because they could dip into their own budget. And then he can come back to us later. Then we don’t have to allocate it right now.
Shawn- is prize money too much?
Alyssa- fair amount based on the scale of the project.
Julian- goes back into building projects. Goes back to community.
Strieter- $960 dollars last year for Toolshmc.
Shawn- Will they do it again in the spring?
Alyssa- it says semi annual. So once a semester.
Shawn-how much did they reimburse last year?
Nick- he said 75.
Maureen- Scott can figure out the best way to distribute it throughout the teams. He probably won’t run short on money.

Bryan motions to approve ToolSHMC budget request
Julian seconds

Revision and Discussion of ReggaeFest Allocation
Maureen- Social gave $250.
Rachid- Thought ASHMC would match it.
Maureen- ASHMC and Social aren’t two separate entities. Hoping that that they would have covered the whole event. Now it’s like doubling it up. Would social bring it up again?
Rachid- Will bring it up at tomorrow’s meeting.
Bryan- When is the event?
Streiter- Nov 7. We have more time.
Maureen- Will talk about it more next week if need to talk about it more.
