Information about the position: Salary is dependent upon qualifications with a minimum of $3,750 per month. This is a full-time, 12-month, benefits-eligible position reporting to the Director of Community Engagement. The Homework Hotline Tutoring Program is offered in the evenings, Sunday through Thursday from 5:45 p.m. to 9:15 p.m. The Assistant Director's schedule will be determined with the Director and will take into consideration working during the program's operational hours.
What the successful candidate will do: The Assistant Director of Tutoring Programs (Assistant Director) oversees the day-to-day operations of the College's tutoring programs offered through Student Affairs, e.g. Homework Hotline and Dean of Students Tutoring. The tutoring programs are services to the community that are designed to help students in local K-12 schools with their homework and have their questions answered by qualified and knowledgeable Harvey Mudd College student tutors. The Assistant Director supervises and directs the tutoring programs, collaborates with faculty in developing and maintaining the programs, and serves as the liaison between HMC and school districts. A key component of this position is the responsibility to develop a strategic approach to recruit, train and coach HMC student tutors. Tutoring is offered through the College's Community Engagement Program for which the Assistant Director provide support and assistance. This is a grant-funded position and employment is subject to continued funding.
Essential Functions:
- Supervise the daily operations of the College's tutoring programs.
- Recruit, train, schedule, evaluate and maintain communication with HMC student tutors; coach and mentor tutors; obtain feedback from tutors about the program and address related issues and concerns.
- Maintain student employment records and manage student payroll.
- Coordinate, maintain and update databases of participating school information, including information about program activities and agreements with each school or school district.
- Prepare and update statistical and progress reports including quarterly reports for Rose-Hulman Institute of Technology and annual reports to donors and funding agencies.
- Oversee marketing and communication strategies for tutoring programs by maintaining the website, brochures, fliers, and social media sites; coordinate and manage the distribution of promotional mailings and materials to organizations, educators, students, etc. Consult with the Office of Advancement Marketing and Communications.
- Attend and participate in information and promotional events sponsored by the schools and plan, organize and host special events sponsored by the program.
- Monitor the program's budget, maintain supplies, and oversee the maintenance of program equipment.
- Coordinate program assessment and recommend changes accordingly; obtain feedback from key stakeholders (i.e. tutors, Dean of Students staff, students and educators).
- Work in collaboration with the college's IT department, call-management provider and toll-free number service provider for the successful operation of the Homework Hotline's call-center.
- Assist the Director of Communicating Engagement with general program support:
- Prepare materials for various program initiatives
- Participate in and assist with community outreach
- Serve as a member of the Advisory Committee for Community Engagement
- Maintain positive relationships with community members, visitors, etc. by providing back up for answering phones, responding to emails, and providing information in-person.
- Assist with reports and data gathering.
- Maintain communication and relationships with representatives from the other Claremont Colleges.
- Participate in professional development activities.
- Other duties as assigned.
What the ideal candidate will bring to this position and HMC:
Required Qualifications:
- Bachelor's degree, or any combination of education, training and experience that provides the required knowledge, skills and abilities of the position.
- Two to three years of experience in supervision, coaching, or teaching, preferably in an educational environment.
- Valid driver's license and a driving record acceptable to the College's automobile insurance carrier.
- Excellent interpersonal, writing and verbal communication skills.
- Ability to work effectively with HMC students and K-12 students who access the college's tutoring programs.
- Ability to work independently and exercise good judgment in decision-making.
- Ability to prioritize multiple duties/tasks and meet deadlines.
- Ability to think strategically, plan effectively, and direct and manage projects/events.
- Personal integrity and demonstrated commitment to high standards and attention to detail.
- Ability to thrive in a collaborative team environment and interact successfully with individuals with varying abilities, backgrounds, interests and beliefs.
- Ability to work occasional weekends depending on programmatic needs and to be accessible to student tutors during the college's tutoring program hours.
- Adept at using software such as Microsoft Office Word, Excel, PowerPoint, Access and Adobe Acrobat.
- Demonstrated interest in education and assisting students with improving their knowledge and skills in math and science.
Preferred Qualifications:
- A degree in mathematics or science.
- Experience in an educational environment.
- Experience in managing a student program and working with students.
