Information about the position:  Salary is dependent upon qualifications with a minimum $6,250.00 per month. Usual working hours are Monday-Friday, 8:00 a.m.-5:00 p.m.; requires frequent evening and weekend hours and extensive regional and national travel. This is a full-time, 12-month, benefits-eligible, exempt position reporting to the Senior Director for College Advancement - Principal Gifts.

What the successful candidate will do: An experienced professional, the Director of Reunion Programming oversees both the fundraising and programming components of the College's year-long reunion program activities, which culminate in the annual Alumni Weekend.  Actively travelling within the region and across the nation, the Director engages volunteers; identifies, cultivates, solicits and stewards donors; and executes donor relations activities and special events associated with the reunion cycle.  The Director supervises an Associate Director of Reunion Programming and a Reunion Coordinator; collaborates with colleagues within the Office of College Advancement as well as other campus departments; and works closely with the Alumni Association Board of Governors to support their goals of increasing alumni support and engagement. 

Essential Functions:
Working under the direction of the Senior Director for College Advancement - Principal Gifts, the Director performs the following essential functions: 

  • In consultation with the Director of Leadership Gifts and the Director of Alumni and Parent Relations, develop and expand the HMC Reunion Program and its Alumni Weekend with the goal of increasing effective alumni engagement, reunion giving, event attendance, and volunteer enrollment, as well as visibility and awareness of the program and the College.
  • Directly manage four reunion classes, including the 25th reunion; collaborate with the Director of Alumni and Parent Relations on the management of the 50th reunion.
  • Travel nationally to recruit and solicit class reunion leadership, volunteers, class gift donors, and participants, averaging a minimum of 40 meaningful contacts per month, including a minimum of 8-10 personal visits.
  • Meet giving and other goals annually assigned jointly by the Vice President for College Advancement and the Senior Director of Advancement - Principal Gifts.
  • Supervise the Associate Director who oversees the day-to-day operations of the reunion program and directly manages five reunion classes, and the Reunion Coordinator who schedules and implements reunion activity planning meetings, manages the RSVP system and coordinates regional and local travel plans.
  • As part of the Advancement Managers Group, periodically meet with the Vice President and with other directors to report on specific metrical progress being made toward meeting assigned contact, volunteer recruitment, reunion participation, programmatic, and reunion giving goals.
  • In conjunction with the Vice President and Senior Directors of Advancement, develop and implement a multi-year marketing strategy for reunions; oversee the production of all year-long reunion activity and Alumni Weekend marketing communications materials and online resources being managed by the Associate Director.
  • Develop and enhance reunion program and Alumni Weekend volunteer recruiting protocols; establish volunteer job descriptions; and increase personalization and effectiveness in the reunion fundraising process.
  • Create and implement assessment protocols for elements of reunion activities.
  • Serve as the staff liaison for the Selections Committee of the Alumni Association Board of Governors and co-liaise for the Events Committee with the Director of Alumni and Parent Relations.
  • Convene reunion planning meetings for key campus partners to expand collaboration opportunities.
  • Consult with alumni relations colleagues at the other Claremont Colleges on year-round reunion activities and Alumni Weekend planning to increase partnerships.
  • Through ongoing professional development, maintain knowledge of national best practices in reunion programming and solicitation.
  • Effectively manage budgets and resources for reunion and Alumni Weekend programming and fundraising.
  • Other duties as assigned.

What the ideal candidate will bring to this position and HMC:
Required Qualifications:

  • Bachelor's degree, or a combination of relevant experience and education.
  • At least five years of applicable alumni relations and volunteer management experience, four years of fundraising experience in direct solicitation, and two or more years of event planning experience, preferably in a higher education setting; or a combination of education, training, and experience that provides the required knowledge, skills and abilities of the position.
  • Possess and maintain a valid driver's license and driving record acceptable to the College's automobile insurance carrier.
  • Ability to work independently, exercise good judgment and make decisions with minimal guidance and oversight.
  • Experience with volunteer management.
  • Excellent persuasive writing and verbal communication skills.
  • Outstanding interpersonal skills.
  • Knowledge of basic fundraising and philanthropic principles.
  • Ability to read, write legibly, speak, and follow written and oral instructions in English.
  • Mastery of standard office productivity software (e.g. Microsoft Office programs): Word (including mail merges), Excel (including macros, charts and other advanced functions), PowerPoint, Adobe Acrobat and Outlook required.
  • Experience with Jenzabar CX or a comparable computer database system.
  • Ability to spell accurately and write business correspondence according to professional writing standards.
  • Outstanding ability to develop reports, agendas, simple proposals, and conference materials.
  • Ability to apply basic and analytical math and budget monitoring procedures in maintaining financial/budget records.
  • Demonstrable competence with internet browsing software, search engines, and search strategies.
  • Ability to sort and file alphabetically or by subject information from a variety of sources.
  • General knowledge of graphic design, publication, and production.
  • Ability to prioritize multiple duties/tasks and meet deadlines.
  • Strong analytical skills.
  • Knowledge of and experience with web 2.0 applications

Preferred qualifications:

  • Master's degree.
  • Direct experience working in a collegiate reunion program.
  • Experience with graphics software.
