Grade Reports
Effective Fall 2003, grades are made available to students through the online student portal each semester.
Transcripts
Copies of student transcripts are available at the Registrar’s Office. Official transcripts are made for a charge of $2. Requests for transcripts may be made by letter, by fax (909/607–0459) or by a form available in the Registrar’s Office. The student’s signature is required to release academic information. Copies of transcripts will not be faxed from the Registrar’s Office to any other location. An e-mail pdf version of a student’s unofficial transcript may be transmitted only to the student’s HMC e-mail account or to an e-mail account designated in writing by the student and an authorizing signature.
Home Address Changes
Report any changes in your home address or home phone number to the Registrar’s Office. You will be asked annually to confirm your home information that is on file.
Emergency Contact Changes
Report any changes in your emergency contact information to the Registrar’s Office. You will be asked annually to confirm your emergency contact information that is on file. It is important that this data be kept accurate and up-to-date so if there is an emergency for you that we can contact the appropriate person(s). You can have at least three emergency contacts listed in your file.
Enrollment Verifications
If you need verification of your student enrollment at HMC, contact the Registrar’s Office to obtain verification. Enrollment verifications are sometimes needed for such situations as Good Student Driver discounts, health insurance and scholarship renewal.
Student Portal
Current academic information is available for students through the student portal at https://portal64.hmc.edu. Each student must have a user ID and password to use the portal. Students can view their class schedules, academic record, low grade notices, transcripts and perform a degree audit and GPA projection. Students can also view The Claremont Colleges course schedule, which is displayed in real–time. For example, it will display whether a course is open or closed and how many seats are still available. Information on special requirements, such as prerequisites, is also available for each course if applicable. The Registrar’s Office no longer sends out grade reports or copies of class schedules to students. Students can login to the student portal to see their grades and to check their class schedules. Involuntary Disenrollment From a Course
(As of May 2001)
When a prompt response may be essential, the Dean of Faculty has the authority to intervene in cases in which a student, after warning from the instructor, continues to engage in conduct which results in the substantial impairment of teaching or learning in a course.
In such rare cases, the Dean of Faculty will interview the student, the instructor, other students in the course, and any additional persons deemed relevant, to determine a course of action — up to and including an involuntary withdrawal from the course. The student may invite any member of the HMC community to act as an advocate on his/her behalf.
This process is intended to remedy a situation which is disturbing the educational opportunities of other students and should not be interpreted as a disciplinary process. It thus does not preclude a case being filed with the appropriate judicial body by any party that believes the disruptive conduct constitutes a violation of any college code or policy.
Voluntary Leave of Absence/Withdrawal
A withdrawal or leave of absence from the college may be requested by submitting a leave of absence/withdrawal form to the Dean of Students or the Associate Dean of Academic Affairs. The Dean of Students and/or the Associate Dean of Academic Affairs then notifies the Registrar, Student Accounts, Financial Aid, Development and the mail room about the leave/withdrawal.
